How it works

Surplus goes in. A verified record comes out.

Follow one donation through the system. Each stage captures what the next one depends on — so the documentation at the end is defensible, not reconstructed at quarter close.

The lifecycle

Four stages. One continuous record.

Scroll through the stages — the record builds itself alongside you, exactly as it does in the platform.

Stage 01

Log at the source

Your staff record surplus the moment it appears — from the dashboard or a Donation Link / Donation QR — in seconds, at the dock or on the floor.

  • Weight, category, and timing captured at the point of origin
  • No spreadsheet, no end-of-month reconstruction
  • The donation gets an identity the whole chain can reference
Why it matters

Documentation is only as strong as its first entry. Capturing at the source is what makes everything downstream defensible.

Stage 02

Route automatically

Savur assigns the right recovery channel. Edible surplus moves for same-day recovery to Nonprofit Partners; recoverable material routes to Upcycle Partners; the rest goes to approved compost and animal-feed channels.

  • Coordination is handled on the back end — there is no portal for your team to work
  • Dispatch cost is absorbed by Savur, not passed to your locations
  • Every stream is documented, including what can’t be eaten
Why it matters

Recovery fails on logistics. Removing the coordination burden from your team is what makes the program survive past month three.

Stage 03

Verify the handoff

The receiving Nonprofit Partner confirms intake through a Fulfillment Link / Fulfillment QR. Received weight is reconciled against submitted weight at the point of transfer, and custody is timestamped.

  • Both sides of the handoff are on the record, not just yours
  • Material weight differences are flagged for review before they move forward
  • Status stays “Received — Awaiting Verification” until reconciled
Why it matters

A number nobody checked is an estimate. Two-sided confirmation is the difference between a claim and a verified figure.

Stage 04

Generate the record

Once a weight is verified and approved, the documentation produces itself — donation records, diversion and impact reports, and sustainability records built from the approved figure.

  • IRS §170(e)(3)-aligned documentation, ready for your accountant
  • EPA WARM-aligned estimates with source and factor-version lineage
  • Immutable audit logs — every figure traces back to its origin
  • No manual triggers; reports generate as events occur
Why it matters

The work that usually happens in a scramble before an audit has already been done — continuously, by the system.

What the system produces

The paperwork, already done.

Every document below is generated from verified data — not assembled by your team after the fact.

  • Donation ledger

A running record of every donation, weight, and destination across your locations.

  • Intake & received reports

Confirmation from the receiving partner, with reconciled weights at the point of transfer.

  • Diversion reports

What was recovered, upcycled, and diverted from landfill — documented by stream.

  • §170(e)(3) documentation

Enhanced-deduction records substantiated by chain-of-custody evidence, for review with your tax professional.

  • Impact reporting

Households reached and communities served, tied back to verified weights.

  • Climate evidence records

Modeled outcomes remain clearly separated from verified operational facts and source records.

Getting started

Fits the way you already work.

Savur sits alongside your operation rather than replacing it. There is no equipment to buy, and nothing for your partners to rip out.

  • No new hardware

A computer, a phone, and the scales your team already uses. Donation QRs scan from any smartphone.

  • Your partners keep their systems

Nonprofit intake, inventory, and federal reporting tools stay exactly as they are. Savur documents the donation chain — it doesn’t replace the software your partners run their programs on.

  • Records leave as files you can use

Verified records and documentation export for your accountant, your ESG team, and your partners’ own reporting — no integration project required.

  • Minutes per donation

Staff log surplus at the source and get back to work. The rest of the lifecycle runs on the back end.

The burden we remove

What your team doesn’t have to do.

  • Chase acknowledgments

Donee confirmations arrive through the platform. No one is emailing a food bank for a signed letter in March.

  • Coordinate pickups

Routing and dispatch are handled on the back end. Your staff log the surplus and go back to work.

  • Maintain spreadsheets

There is no parallel tracker to reconcile, because the system of record is the tracker.

  • Rebuild the year at audit time

Reports generate as events occur, so the evidence exists before anyone asks for it.
